A practical migration plan for switching field service software

Changing operating systems touches customer records, schedules, field habits, invoices, and reporting. A careful migration protects active work first, moves clean data in controlled stages, and gives the team a clear point when the new system becomes authoritative.

Map the current workflow and records

List where customer contacts, future jobs, recurring schedules, open estimates, unpaid invoices, service notes, files, and accounting records currently live. Identify which system is authoritative for each category and who owns the cleanup decision.

Separate information that must move from information that should be archived securely. Importing every duplicate, obsolete, or incomplete record can make the new workspace harder to trust.

  • Customers and service locations
  • Future and recurring jobs
  • Open estimates and invoices
  • Required service history
  • Files and operational notes
  • Accounting and legally retained records

Clean and test before the full import

Normalize names, phone numbers, email addresses, and required fields. Decide how duplicates will be handled. Keep an untouched backup export from the old system according to the business's security and retention obligations.

Run a small test import first. Review several representative customers in the new system, including one with incomplete data or unusual formatting, before moving the full prepared file.

Protect active jobs during the cutover

Choose a clear date and time when scheduling begins in the new system. Assign someone to reconcile changes made near that point, especially recurring jobs and customer requests. Avoid maintaining two editable source schedules longer than necessary.

Tell the team which system is authoritative, what they must check before a visit, and where to report missing information. Use a small set of real workflows for training rather than only showing menus.

Validate the complete service loop

Before declaring the migration complete, test a new request, customer lookup, recurring job, crew assignment, field update, estimate, invoice, payment status, export, and user-access change. Keep the old export until retention and verification requirements are satisfied.

Opright provides CSV customer migration on eligible plans. Complex financial or historical migrations may still require manual review because customer, job, and accounting models differ between products.

Frequently asked questions

Direct answers

What data should move to new field service software?

Prioritize accurate customers, locations, future work, recurring schedules, active estimates, open invoices, and service history that the business genuinely needs.

Should I import every old record?

Not necessarily. Preserve required records securely, but clean duplicates and obsolete data before deciding what belongs in the active workspace.

Can Opright import customers from a CSV file?

Yes. CSV customer migration is included on Free and Pro. Review and clean the source file before importing.
