How to compare field service software pricing
The advertised monthly number rarely tells the whole story. Compare the price at your current team size, the features required for daily work, annual commitments, payment terms, migration effort, and what the next stage of growth will cost.

Calculate the price for the real team
Some software charges per user, some uses plan-based member limits, and some combines a base price with add-ons. Calculate the cost for owners, office staff, and field workers who actually need access rather than comparing only the lowest headline tier.
Check whether customer records, jobs, invoices, messages, storage, routes, or payment features have separate limits. A lower plan may still be the right fit, but its boundaries should be understood before migration.
- Base monthly price
- Included users or team members
- Customer and job limits
- Required feature tier
- Add-ons or processing fees
- Annual commitment and renewal
Separate essential features from future features
List what the business needs now: perhaps scheduling, customer history, recurring jobs, estimates, invoices, team assignments, or job costing. Then list what is likely to matter later. This avoids paying early for complexity while still checking that a reasonable upgrade path exists.
A free or low-cost tier can be useful for an owner-operator. A crew should price the team tools it needs rather than forcing a single-user plan to act like a dispatch system.
Read the billing and cancellation terms
Confirm whether annual pricing is paid up front, whether subscriptions renew automatically, when cancellation takes effect, whether refunds are prorated, and what happens to the workspace after a plan change. Promotional periods should be separated from the ordinary price.
Keep a copy of the terms that apply when purchasing. Pricing pages explain the offer, while billing terms provide the contractual detail.
